2009/8/21 A client made my dayI had a client call as he was getting ready to pay a couple of invoices and had some questions. 2 of the invoices were almost identical in amounts. I assured him that they were for different months and were different invoices. Then he had wanted to know something that had me actually pulling the file out to look for info. He and I decided he need to call our project manager and he hung up. He's a really nice guy and I always enjoy talking to him.
After he hung up, something caught my eye and I looked at the 2 invoices closer and realized TO MY HORROR - THAT THEY WERE THE SAME INVOICE!! WE HAD BILLED THEM TWICE!! When we do an invoice, the time is supposed to get grayed out so we know it was taken care of. This was our other office that didn't do it, but I was the one that created the next invoice and should have noticed.
I didn't have his phone # so I emailed him right away:
I am extremely embarrassed but I was just looking more closely at these two invoices and realized that 7163 is in fact a duplicate of 7133. Somehow the time did not get marked out by my assistant and I didn’t catch it when I did billing the following month. I will issue a credit memo for 7163 and I apologize for any inconvenience this has caused.
His response?
Thanks for catching it. I give myself 6 mistakes a day. And they are accumulative for the week. But they get wiped out on Monday. That way I don’t beat myself up because I’m not perfect.
He made my day. What a wonderful attitude!
